The Horseshoe Harvest Hangout (HHH) believes the engagement provided through social media platforms benefits the organization, enhances the fan enjoyment and generally promotes family fun, the sport of rodeo.
This policy is intended to serve as a guideline to keep the HHH along its ascending path in both growth and mainstream popularity. The rules outlined are in accordance with many other professional sports organizations and concert venues.
Use definitions that require licensing
- Commercial Use : Any use of footage that is included in an advertisement for products or services. This includes paid advertising on social media.
- Entertainment Use : Any use of footage that is included for entertainment, documentary or other types of storytelling. Distribution outlets include but are not limited to television, internet, cable, social media, YouTube or documentary film festivals.
- Freelance : An individual seeking footage collection for a portfolio or seeks footage to resell to commercial entities, events, artists, or contestants.
Rights Remain in HHH. The HHH retains all rights in and to the filming, taping, recording in any media now or hereafter known, still footage/photography, radio or television broadcasting or reproduction in any manner or form thereof of any HHH event.
No Member may be required to participate as a contestant or otherwise appear on any form of media or television, including pay, cable, subscription, closed circuit or otherwise, radio, film or other visual and/or sound depiction in connection with any HHH event, unless the person or entity seeking such participation or appearance by a Member first secures the prior consent. Legitimate news coverage shall be exempt.
Media Credential Guidelines

Thank you for your interest in covering the Horseshoe Harvest Hangout. To ensure a safe, professional, and enjoyable experience for our artists, attendees, and staff, all accredited media must follow the guidelines below.
Credential Requests
- Media credentials are issued only to working media covering the event for legitimate outlets (print, broadcast, digital, photo, or video).
- Freelancers must provide proof of assignment from a recognized publication or outlet.
- Requests must be submitted via the online application form by September 20, 2025. Late requests may not be considered.
Check-In & Access
- Credentials must be picked up in person at the Media Check-In desk located at the festival entrance. Government-issued photo ID required.
- Media credentials grant access to the festival grounds, designated media areas, and approved photo pits. They do not guarantee backstage, dressing room, or hospitality access unless specifically noted.
- Access to artist meet-and-greets, VIP areas, or private functions requires advance approval from Horseshoe Harvest Hangout’s media team and individual artist management team.
Photography & Video & Audio
- First three songs, no flash: Accredited photographers may shoot from the photo pit during the first three songs of each headliner set, unless otherwise restricted by the artist’s management.
- No artist nor contestant is required to give you coverage, you must have approval or consent to utilize their likeness or quotes.
- No backstage, side-stage, or dressing room photography/video/audio without prior written approval.
- Drone photography is prohibited unless pre-approved by festival management.
- Live streaming of any performances is not permitted.
Coverage Requirements
- Media outlets granted credentials are expected to provide coverage (article, broadcast segment, photo gallery, or equivalent).
- Horseshoe Harvest Hangout reserves the right to request copies or links to coverage for archival and promotional use.
- All published coverage should credit “Horseshoe Harvest Hangout, Queen Creek, AZ”.
Code of Conduct
- Credentials are non-transferable and may be revoked at any time for misconduct, unprofessional behavior, or violation of guidelines.
- Media are expected to respect artists, staff, and attendees at all times.
- Failure to comply may result in removal from the event and denial of future credentials.
